Supplier matching process

Used car buying guide compared on one brief

We prepare a consistent RFQ for candidate original manufacturers without claiming that any supplier is pre-approved, in stock or authorized for your destination. The buyer's duty, required configuration and evidence thresholds remain the reference throughout outreach.

Buyer-side roleRequirements and supplier outreach remain traceable to your brief.
Comparison basisEach response is normalized to one configuration, quantity and Incoterm.
Evidence handoffExact-model files and unanswered exceptions are returned for buyer review.

Three workstreams keep responses comparable

Operating profile

Share cargo, route, grades, road or site surface, speed, climate and shift duration. Candidate suppliers should identify cab, model and VIN, condition profile, drivetrain, cooling and service assumptions behind the proposal. A generic used vehicle label is not enough to establish fit.

Rating profile

Request gross vehicle weight rating, combined weight rating, axle ratings, load capacity, towing rating capacity, wheelbase and condition profile dimensions for the offered model year and fitted equipment. When an electric powertrain is proposed, add usable battery capacity, connector, charging power and range-test basis.

Commercial profile

Use the same unit count, configuration split, destination and Incoterm. Ask suppliers to separate vehicle price, condition profile or customization work, inspection, documents, packing, inland transport and freight. MOQ, samples and lead time stay open until a current quotation answers them.

Evidence gates during sourcing

Selection moves forward only when the buyer can see what is supported, what differs and what still requires an appointed evaluator.

How is supplier identity checked?

Request the legal entity, manufacturing role, quotation issuer and applicable facility information. Those records support due diligence but do not turn ReFleet Exchange into a certifier or authorized representative.

How are substitutions handled?

Compare the proposed change against every fixed requirement. Record affected ratings, dimensions, controls, documents and cost lines; a cheaper alternative is not equivalent until the buyer accepts the deviation.

Who decides destination applicability?

The buyer's qualified US advisers review exact vehicle category, model, configuration and model year evidence. Supplier statements or family brochures cannot independently establish FMVSS, EPA, import or registration acceptance.

Send the same requirement to every candidate manufacturer

Attach a specification, duty note or reference link, then state quantity, destination and required documents. We will use that basis to organize factory responses and expose exceptions.
